We have a great opportunity for an Office Manager/Front of House/Assistant who can manage the reception area and undertake all responsibilities for the smooth running of the UK-based Head Office as well as directly assisting the Chairman's office. The role would suit somebody who enjoys working in a fast paced and dynamic environment. This is a great opportunity for a motivated individual who wants direct experience in a creative and international West End marketing agency who works with a wide range of blue chip clients across all industries.

Principal tasks include:

  • Arranging hospitality and booking rooms for meetings and staffing events
  • Sole management and running of the reception area that involves answering the telephone, transferring and screening calls and welcoming visitors
  • Responsible for smooth operation of the office and business environment, which involves developing policies and processes, management of any premises issues that arise
  • Implementing Health & Safety policy
  • Conducting Risk assessment
  • Management of incoming and outgoing post, faxes and emails
  • Booking Couriers for offices Worldwide
  • Dealing with purchase / sales invoices
  • Ensuring shared office equipment, including printers, faxes, telephone systems, server backup and retrieval systems are in working order
  • Organisation and management of all office and studio resources, including stationery, paper stocks and samples, recycling and cutting room facilities, plus ensuring the ongoing positive presentation of the studio environment
  • To undertake executive PA duties & provide ongoing support for the Directors as and when required
  • To provide direct support to the MD for marketing projects and liaising with Marketing team
  • Take ownership for other specifically allocated projects and activities within the group, to include co-ordinate desk/office moves
  • Internet research as requested
  • Maintaining, updating and developing the company databases
  • Provide support to other departments of the business as requested

Required Experience and Skills

The ideal candidate for this position will be very friendly with previous experience in a similar role. You must have excellent communication and organisational skills and be professional in appearance and presentation. You will have a hands on approach and be willing to get involved in other tasks when required. You must also be competent in Microsoft Office
