Helping you find a career in the Secreterial industry

Secretaries are essential in ensuring that operations to run smoothly. It’s not all about answering phones and e-mails - their duties can be quite varied depending on the workplace.

The work that a secretary does will depend upon the size of the team, the business, the industry and levels of experience. Strong written and verbal communication skills will be essential.

Typical tasks that a secretary has in a day include:

- Administration work within an office
- Answering phone and e-mail enquiries
- Greeting and hosting guests
- Taking minutes in meetings
- Processing bills and expenses
- Maintaining filing systems and databases

Due to the nature of these responsibilities, the vast majority of secretarial work will require you to be present in the office and working from home opportunities will be limited.

Skills & interests required for a career in Secreterial
Secretaries must be highly organised and have impeccable time-management skills. You will be relied upon for maintaining things in the workplace whether that is office supplies, people’s diaries or enquiries.

As you progress in a secretarial role you will take on more responsibilities.

As a secretary you will have to be adaptable to changeable workloads, as you may be asked to deal with last-minute requests and have to alter your day accordingly.

Secretaries who are able to speak more than one language will have a competitive edge for roles in global companies. However, this is not a prerequisite for the majority of secretarial roles.

Other skills that will help you to succeed in the secretarial industry include:
- Adaptability
- Communication
- Customer Service
- Patience
- Problem Solving
Secreterial apprenticeships & other career progress routes for school leavers
Often secretarial roles can open the door to other roles within the business, because you will be the first to hear about upcoming opportunities. However, there are of course progression routes within the secretarial industry.

To progress in a secretarial role you will take on more important responsibilities within a company, such as writing reports. If you’re in a company that has a team of secretaries you may become the team leader and be responsible for the training of junior secretaries.

Many who enter the secretarial industry move into a Personal Assistant (PA) role, which can be highly specialised. For these you need to have impeccable organisational skills and be responsible. Your employer will depend on you to make decisions that will affect their working day – such as which meetings and tasks to prioritise.
Tips for getting into the field
Make sure that you can type quickly and accurately. You will inevitably have to send a lot of communication emails and it’s important that there are no mistakes.

The best way to break into this industry is through experience. Try sourcing temporary work through agencies or maternity cover contracts.
What do Secreterial professionals get paid?
Starting salaries are usually around £14,000 and can rise to £20,000 with experience.

Secretaries with specialist skills and knowledge tend to be on slightly higher wages and will earn around £25,000.
What qualifications do I need for a career in Secreterial?
Experience is more valuable than qualifications when working as a secretary. For some secretarial positions knowledge of the industry could be essential in order for you to fulfil the duties of the role. Legal secretaries, for example, could be responsible for putting enquiries through to the correct department so a basic understanding of law will help.
